Privacy Policy
Last updated: 5 October 2026
This policy explains what personal data ClipyToons collects, why, how long we keep it and your rights under UK data protection law (UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations).
Who is responsible for your data
MediaVision UK, which operates ClipyToons, is the controller of your personal data. Our company details and ICO registration number are listed under "Who we are" at the end of this page. For any privacy question or request, email [email protected] or open a ticket from Help.
ClipyToons is for adults
Accounts, subscriptions and support chat are for adults aged 18 or over: parents, carers, teachers and creators. Children must not sign up or use chat. Please don't enter a child's full name, school, address or other identifying details in chat or tickets.
What we collect and why
- Account details: your name, email address and sign-in details. We use them to run your account and send you service emails. Lawful basis: performance of our contract with you.
- Billing details: your plan, payment status, invoices and credit history. Stripe holds your card details; we never see the full card number. Lawful basis: contract and legal obligation (tax and bookkeeping records).
- Checkout consent records: the date, plan, price and terms version you agreed to at checkout, and your approximate country. Lawful basis: legal obligation (to show we gave required information and you asked us to start straight away).
- Projects and media: the photos, character descriptions, scripts, voices and videos in your projects. We use them only to create your videos. Lawful basis: contract.
- Support: tickets, emails, attachments and chat conversations. We use them to help you and to review quality and safety. Lawful basis: contract and our legitimate interest in providing good, safe support.
- Email preferences: which optional emails you want. Receipts, renewal reminders, cancellation confirmations and support replies are always sent because they're part of the service or required by law.
- Security and logs: IP address, device and browser information and error logs. We use them to keep the service secure, prevent abuse and fix problems. Lawful basis: legitimate interests.
- Site analytics and live chat (only with your consent): if you choose "Accept analytics" in the cookie banner, we keep first-party visit data on our own servers. This includes a random visitor ID in your browser, the pages you open, your approximate country and city, device and browser type, how you found us, and whether you're signed in. Our team may use it to offer help in the chat bubble. Messages you write there are stored with the visit. Lawful basis: consent, which you can withdraw at any time from "Cookie settings" in the footer. See our Cookie Policy.
We don't sell your data, show ads, or use third-party advertising or tracking cookies.
Children's photos
Parents and carers often upload photos of their children so the studio can turn them into cartoon characters. If you do this:
- you must be the child's parent or legal guardian, or have their permission, and you're responsible for that decision;
- the photos are stored in your private project and used only to create your videos. We don't use them for advertising, marketing or profiling, we don't share them publicly, and we don't sell them;
- photos are sent to our AI processing providers only to generate your videos, under contracts that restrict them to processing on our instructions;
- you can delete a photo, a character or a whole project at any time, and deleting your account deletes them all.
We don't build profiles of children or make automated decisions about anyone that have legal or similarly significant effects.
Who we share data with
We use carefully chosen service providers ("processors") who act only on our instructions:
- Clerk: sign-in and account security.
- Stripe: payments, invoices and fraud prevention.
- Cloudflare: network delivery, security and bot protection (it also gives us your approximate country).
- Resend: delivering our emails.
- AI processing providers: generating images, voices, video and captions from your project content, and powering the support assistant. They may not use your content to train their own models where we can contractually prevent it.
- Hosting: our servers and storage, where your projects and our database are kept.
We may also share data with professional advisers, or where the law requires it (for example, to the police with a valid legal request).
International transfers
Some providers process data outside the UK, including in the United States and the European Economic Area. Where they do, we rely on UK adequacy regulations (including the UK–US Data Bridge where the provider is certified) or the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.
How long we keep data
- Projects, photos and videos: until you delete them or your account.
- Account details: while your account is open, and deleted when you close it.
- Support tickets and chat: while your account is open, and deleted when you close it.
- Analytics page-by-page visit history: 180 days.
- Analytics visitor records and live chat messages: 12 months from the last visit.
- Email delivery records: deleted when you close your account.
- Payment, invoice and checkout consent records: 6 years after the end of the financial year they relate to, as UK tax and company law requires. When you delete your account, these are kept in anonymised form.
Your rights
You have the right to:
- access your data. "Download my data" under Account & privacy gives you a copy straight away;
- correct inaccurate data;
- delete your data. "Delete my account & data" under Account & privacy erases your projects, photos, videos, tickets and chats, cancels your subscription and closes your sign-in;
- data portability: the download is a machine-readable zip;
- object to processing based on legitimate interests, and restrict processing in some cases;
- withdraw consent at any time, for example to analytics, from "Cookie settings" in the footer;
- opt out of optional emails under Account & privacy.
For anything else, email [email protected]. We'll reply within one month. We may need to confirm your identity first.
Complaints
If you're unhappy with how we've handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes
We'll update this page when our practices change and change the date at the top. If a change is significant, we'll email you first.
